Notifications Deadlines for Faculty Reviews Summary
In the Academic Year Prior to the Year of Review
December 1: Notification of Reviews
By this date, the chief academic officer must inform all tenure-track faculty who are scheduled for a review in the following academic year. This notification must be made in writing to the faculty member, the department chair/direct supervisor and the current chair of the FRC.
May 1: Tenure-track faculty-initiated request for change of rank or tenure review.
This is the latest date that tenure-track or tenured faculty members requesting change in rank or tenure review in the next academic year can inform the chief academic officer of their intent to be reviewed. These requests must come in writing and must be copied to the chair of the FRC.
Deadlines During the Academic Year in which Faculty are Reviewed
September 1
All tenure-track faculty who are to be reviewed in an academic year (i.e., all those undergoing second-year, fourth-year, tenure, and r
ank change reviews) are responsible for ensuring that their Professional Portfolio is current, complete, and submitted in the learning management system.
Likewise, tenure-track faculty seeking review of a sabbatical proposal must submit their proposal with a letter of support from their department chair or direct supervisor, along with an application that includes the purpose of the sabbatical, the activities and plan, benefits to the individual and institution, and expected outcomes of the sabbatical. All documents must be submitted by September 1 in the learning management system.
Those tenure-track or tenured faculty members failing to meet the September 1 deadline will be ineligible for promotion (i.e. change in rank), tenure, or sabbatical review that year. Tenure-track faculty scheduled for second-year, fourth year, and tenure reviews who fail to meet the deadline may not be reviewed and may be ineligible for 25% of their Professional Improvement Allowance per year until they are reviewed. A letter documenting the faculty member’s failure to submit the completed Professional Portfolio may be written by the FRC and placed in the faculty member’s permanent file.
September 15
All second- and fourth-year reviews of tenure-track faculty by the faculty member's department chair or direct supervisor must be completed using the direct supervisor evaluation tool. The signed evaluation must be submitted to the chief academic officer by September15. The evaluation must be signed by the faculty member and the department chair or direct supervisor that participated in the evaluation. The chief academic officer must send a copy of that direct supervisor evaluation to the chair of the FRC. A copy of the direct supervisor evaluation should also be given to the faculty member and the faculty member must include it within the learning management system.
November 15
The FRC must make all recommendations for tenure, rank change, and sabbaticals to the chief academic officer by November 15.
December 1
Additionally, the FRC must also send a formal letter of evaluation to tenure-track faculty explaining the rationale for their recommendations and rankings for tenure or rank change by December 1, with copies sent to the chief academic officer and to the faculty member's department chair or direct supervisor.
The FRC must submit rankings (two required areas, teaching, and professional growth, and one self-selected area) for second year reviews of tenure-track faculty members to the chief academic officer by November 15.
The FRC must also send a formal letter of evaluation to tenure-track faculty undergoing their second-year review in the fall by December 1, with copies sent to the chief academic officer and the faculty member's department chair or direct supervisor.
March 1
The FRC will complete the task of fourth-year reviews of tenure-track faculty utilizing the direct supervisor's report submitted by the faculty member's department chair or direct supervisor, as well as the faculty member's professional portfolio in the spring. The FRC must submit rankings (two required areas, teaching, and professional growth, and one self-selected area) for fourth year reviews of tenure-track faculty members to the chief academic officer by March 1.
March 15
The FRC will send a letter summarizing the findings of the fourth-year review to the faculty member, the faculty member's department chair or direct supervisor, and the chief academic officer by March 15.

The FRC will complete the task of fourth-year reviews of tenure-track faculty utilizing the direct supervisor's report submitted by the faculty member's department chair or direct supervisor, as well as the faculty member's professional portfolio. The FRC will send a letter summarizing the findings to the faculty member, the faculty member's department chair and/or direct supervisor, and the chief academic officer by March 15.
December15
Faculty requesting tenure or advancement in rank will be notified of the decision by the president by December 15, the date that contracts are issued for the following academic year. Faculty requesting sabbatical leaves will be informed of the decision by the chief academic officer by December 15.
